1Parties & Acceptance
This agreement is between Prestige Pour & Events Co. ("we", "us") and the person or organisation booking our services ("you", "Client"). It takes effect when you accept these terms — by signing our booking confirmation, by written confirmation over email, or by paying a retainer — whichever happens first.
Your written quote lists the services, staffing and pricing for your event. That quote and this agreement together form the whole contract. Where the two differ, the quote wins.
2Booking & Retainer
A date is reserved only when we have received both your acceptance of these terms and a 25% retainer. Until both arrive, the date remains available to other clients — a verbal hold, an email exchange or a returned questionnaire does not reserve anything.
The retainer is applied in full against your final balance. It is non-refundable, subject to the cancellation terms in section 4.
3Payment
- The remaining balance is due seven days before your event date.
- We accept bank transfer, major cards and the digital payment apps listed on your invoice.
- Card and app payments may carry a processing fee, shown on your invoice before you pay.
- Overtime, day-of additions and damage charges are invoiced after the event and due within seven days.
If the balance is unpaid on the day of the event, we reserve the right not to begin service. Retainers are not refunded in that situation.
4Cancellation & Rescheduling
If you cancel:
- More than 30 days before the event — anything you have paid above the retainer is refunded in full. The retainer is not refunded.
- 30 days or less before the event — the retainer is not refunded, but it can be transferred once to a new date within 12 months, subject to our availability.
- 7 days or less before the event — the full balance remains payable, as staff and stock are already committed.
If we cancel for any reason within our control, you receive a full refund of everything paid, including the retainer. We will also do our best to help you find a replacement vendor.
Rescheduling more than 30 days out is free of charge where we have availability.
5Alcohol — You Buy It, We Serve It
We operate as a dry-hire bar. You purchase and own all alcohol served at your event. We do not sell, supply or mark up alcohol, and no part of your payment to us is for alcohol.
- We provide a shopping list based on your final guest count and menu.
- Quantities on that list are a good-faith estimate, not a guarantee. Running out is not grounds for a refund.
- All unopened alcohol remains yours and stays with you at the end of the night.
- We will tell you before the event which mixers, juices, syrups and garnishes are included in your package and which you need to supply.
6Responsible Service
Every bartender we send is TABC-certified. Texas law and our insurance require them to serve responsibly, and their judgement on the night is final.
- We check identification and will refuse anyone who cannot produce valid ID.
- We will not serve anyone under 21, or anyone who appears intoxicated.
- Guests may not serve themselves from our bar, and bottles are not left out for self-service.
- We may close the bar early, without refund, if guest behaviour becomes unsafe for our staff or your guests.
- Bar service ends at the time on your quote. Last call is called roughly 15 minutes before.
Please do not ask our staff to over-serve a guest, serve a minor, or leave alcohol unattended. We will decline, and repeated pressure is grounds for us to end service.
7Staffing & Timing
- Our team arrives approximately 90 minutes before bar service begins to set up.
- Breakdown takes about 45 minutes after service ends.
- Overtime is billed per staff member per hour at the rate on your quote, charged in 30-minute increments, and is payable within seven days.
- For events running more than five hours, staff take a short break; we schedule these around your programme.
- If we are delayed by circumstances outside our control, we will make up the time where the venue allows.
8What You Provide
So that we can set up and serve properly, please arrange the following before we arrive:
- A level, sheltered space of roughly 8 ft × 4 ft for each bar.
- A grounded 110V outlet within 50 feet if your booking includes frozen drink machines or lighting. Two machines require two separate circuits.
- Reasonable vehicle access for load-in and a place to park during the event.
- Somewhere to dispose of trash and empties at the venue.
- Any alcohol, and any items listed as client-supplied on your event details form.
If these are not in place and we cannot set up or serve as agreed, the booking is still chargeable in full.
9Gratuity
Gratuity is not included in our pricing and is never added automatically.
If your team looked after you well, standard practice is $100–$150 per bartender or event staff member, per night. You can hand it to the team in cash on the night or add it to your final invoice. Either way it goes to the staff who worked your event, in full.
10Equipment, Damage & Loss
All bars, machines, glassware, backdrops, linens and tools remain our property throughout.
- You are responsible for damage or loss caused by you, your guests or other vendors.
- Damaged or missing items are charged at replacement cost and invoiced after the event.
- Some bookings require a refundable damage deposit; where one applies it is shown on your quote and returned within four business days of the event.
- Normal wear from ordinary use is on us, not you.
11Weather & Outdoor Events
For any outdoor bar we ask that you have a covered alternative or a tent. Our equipment is not weatherproof and our staff work with open ice, glass and electrics.
We may pause or end service where there is lightning, high wind, flooding, extreme heat or any condition that makes service unsafe. Weather is outside anyone's control, so it does not entitle either of us to a refund — but we will always try to relocate and keep going.
12Insurance & Liability
We carry $1,000,000 general liability and liquor liability cover. We will send a certificate of insurance directly to your venue on request, at no charge.
We are responsible for our own staff and equipment. We are not responsible for:
- The conduct of your guests, or anything that happens away from our bar.
- Alcohol brought in and consumed outside our service — including guest-supplied bottles and anything served after our bar closes.
- Pre-existing conditions at the venue, or damage to the venue not caused by us.
- Delays or losses caused by other vendors.
Except where the law does not allow it to be limited, our total liability under this agreement is capped at the amount you paid us for the event.
13Changes to Your Booking
We finalise staffing, quantities and menu 14 days before your event, based on the details you confirm on your event form.
Additions after that point are welcome where we have the staff and stock to cover them. Reductions made inside 30 days may not reduce your balance, because staff are already scheduled and stock is already bought.
14Photography
We sometimes photograph our own bar setups, boards and backdrops for our portfolio and social media. These photographs are of our work, never of your guests in any identifiable way.
If you would rather we did not photograph anything at your event, tell us in writing beforehand and we will not.
15Events Outside Our Control
Neither of us is liable for failing to perform because of something genuinely beyond our control — severe weather, natural disaster, fire, power failure, government restrictions, public health orders or similar.
Where that happens we will offer you a credit toward a rescheduled date within 12 months rather than a cash refund, and we will not charge a rescheduling fee.
16Governing Law
This agreement is governed by the laws of the State of Texas, and any dispute will be handled in the courts of Travis County, Texas.
If any single term here turns out to be unenforceable, the rest of the agreement still stands.
